Getting Started
This guide explains how to set up your organisation and begin using the platform.
The initial setup consists of two steps:
- Creating a company
- Creating your first site
Platform Structure
The platform is organised using the following hierarchy:
Account → Company → Site → Location → Checkpoint
Account
Your top-level identity.
- Holds billing and user access
- The first user is assigned super user permissions
- Can manage multiple companies
Company
Represents an organisation.
- Used to group related sites
- Multiple companies can exist under a single account
Examples:
- Acme Corporation
- Manchester Events Ltd
Site
Represents a physical location within a company.
- Billing is based on the number of sites
- Each site operates independently
Examples:
- Head Office
- Warehouse
- Stadium
Note: Creating unnecessary sites will increase subscription costs.
Location
Subdivisions within a site.
Examples:
- Bar
- Entrance
- Storage Room
Checkpoint
Specific items or conditions that are monitored or managed.
Examples:
- Fridge temperature
- Fire exit status
- Stock levels
Step 1: Create a Company
Enter the name of your organisation during onboarding.
Guidance:
- Use your official or commonly recognised name
- Avoid placeholder names such as “Test”
The company can be renamed later if required.
Step 2: Create Your First Site
Add your first physical location.
Required fields:
- Name
- Colour (used for identification in the interface)
Recommended naming:
- Head Office
- Kilmarnock Stadium
Avoid:
- Site 1
- Test Location
Billing
Billing is calculated per site.
- 1 site = 1 subscription unit
- Additional sites increase total cost proportionally
If you are unsure how to structure your setup, start with a single site and expand later.
Next Steps
After completing onboarding:
- Add locations within your site
- Create checkpoints to track operational items
- Invite team members
- Add additional sites if required
Common Mistakes
Multiple sites for a single location
A single physical location should be configured as one site.
Use locations within the site to represent internal areas.
Overcomplicating the structure
A simple structure is sufficient for initial setup. It can be refined over time as usage becomes clearer.
Using placeholder data
Temporary names reduce clarity when managing sites and locations. Use meaningful names from the start.
